Transition Transport – Booking, Cancellation and Refund Terms
These Booking, Cancellation and Refund Terms apply to all bike transport bookings made with Transition Transport. By placing a booking and paying a deposit or full balance, the customer agrees to these terms.
Transition Transport is currently operated as a sole trader business. These terms will continue to apply if the business is transferred to or operated by a limited company, unless the customer is notified of updated terms.
1. The Service
Transition Transport provides specialist bike transport for triathlon and endurance events.
The standard service includes collection of the customer’s bike, secure transport to the relevant race or event location, handover or collection arrangements at the event, and return transport after the race, unless otherwise stated in the booking details.
The customer is responsible for ensuring that the booking details, event selected, contact information, collection arrangements and return arrangements are accurate at the time of booking.
2. Price, Deposit and Balance
The current standard booking price is £350, unless otherwise stated on the booking page.
A £100 deposit is required to reserve a place for a specific race or event. This deposit secures limited transport capacity and contributes towards administration, planning, route preparation and operational arrangements for the event.
The remaining balance must be paid no later than 14 days before the agreed bike collection date.
If the balance is not paid by the required deadline, Transition Transport may cancel the booking and release the transport space. In these circumstances, the deposit may be retained to cover the costs and losses already incurred.
3. Deposit Transfers
Each customer is entitled to one deposit transfer.
This means the customer may request to move their deposit to another eligible race or event, subject to availability and operational feasibility.
A deposit transfer must be requested in writing before the original event transport has commenced and before the bike has been collected.
Once a deposit has been transferred to another race or event, no further transfer is guaranteed.
4. Customer Cancellation
If the customer cancels their booking, the £100 deposit is not normally refundable once the statutory cancellation period has passed and/or once Transition Transport has begun planning and allocating transport capacity for the booking.
Any refund of amounts paid above the deposit will be assessed based on:
the timing of the cancellation;
whether the customer has already used their one deposit transfer option;
whether the transport space can reasonably be resold;
costs already incurred by Transition Transport;
planning, route, staffing and vehicle commitments already made;
the proximity of the cancellation to the collection date or event date.
Refunds are not guaranteed where cancellation is made close to the bike collection date, after operational arrangements have been made, or where the transport space cannot reasonably be resold.
5. Cancellation Deadline
Customers should notify Transition Transport as soon as possible if they need to cancel or change their booking.
No changes or cancellations are guaranteed within 14 days of the agreed bike collection date.
If a cancellation or change request is made within 14 days of collection, Transition Transport may retain the deposit and any additional amounts reasonably required to cover costs and losses already incurred.
6. Statutory Cancellation Rights
Where the customer books online, by phone, by email or otherwise at a distance, the customer may have a legal right to cancel within 14 days of the booking being made.
If the customer asks Transition Transport to begin work, planning, administration or transport arrangements during this 14-day period, the customer agrees that Transition Transport may deduct a reasonable amount for the work already carried out if the customer later cancels within that period.
Once the service has been fully performed, or once collection and transport have begun, cancellation rights may no longer apply to the part of the service already provided.
7. Changes to Booking
Customers may request changes to their booking, including a change of race or event, but changes are subject to availability and operational feasibility.
Transition Transport will try to accommodate reasonable requests but cannot guarantee that a change will be possible.
Each booking allows one deposit transfer to another eligible race or event. Any additional change request is at the discretion of Transition Transport.
8. Circumstances Outside Our Control
Transition Transport will not be liable for delays, disruption or failure to provide the service where this is caused by circumstances outside its reasonable control.
This may include, but is not limited to:
severe weather;
road closures or major traffic incidents;
ferry, tunnel, rail or border disruption;
customs delays;
accidents;
vehicle breakdown;
strike action;
civil unrest;
terrorism or security incidents;
natural disasters;
race cancellation, postponement or relocation;
government restrictions or legal requirements;
border, port or transport infrastructure disruption;
any other event beyond the reasonable control of Transition Transport.
Where circumstances outside our reasonable control affect the service, Transition Transport will take reasonable steps to minimise disruption and notify affected customers as soon as reasonably possible.
9. If We Cannot Collect the Bike
If Transition Transport is unable to collect the customer’s bike and therefore cannot take the bike with us for the booked race or event, the customer will be notified as soon as reasonably possible.
In this situation, the customer will receive a full refund of their deposit and any other amount paid for that booking.
10. If the Bike Has Been Collected but We Cannot Complete the Service
If Transition Transport has collected the customer’s bike but, due to circumstances outside its reasonable control, is unable to transport the bike to the race or event, Transition Transport will notify the customer as soon as reasonably possible.
In these circumstances, any refund will be considered fairly and reasonably at Transition Transport’s discretion, taking into account:
the stage of the journey;
the costs already incurred;
the reason the service could not be completed;
any alternative arrangements offered;
whether the bike can be returned or redirected safely;
the customer’s circumstances.
The maximum refund available in this situation will be 50% of the full ticket price paid for the booking.
The deposit will not normally be refunded once the bike has been collected, unless Transition Transport decides otherwise at its discretion or is legally required to do so.
11. Race Cancellation, Postponement or Changes
If a race or event is cancelled, postponed, relocated or materially changed by the event organiser, Transition Transport will review the position and notify customers of the available options.
Where possible, Transition Transport may offer to transfer the booking to a replacement event or future race, subject to availability and operational feasibility.
Any refund will be considered based on the costs already incurred, the timing of the cancellation or change, whether the transport service has already commenced, and whether the customer accepts any alternative offered.
12. Customer Responsibilities
The customer must ensure that:
the bike is available at the agreed collection point and time;
the bike is in suitable condition for transport;
any accessories, removable items or personal belongings are removed unless agreed in advance;
the customer provides accurate contact details;
the customer is available or has an authorised person available for collection and return;
any specific transport instructions are provided in writing before collection.
Transition Transport is not responsible for delays or failed collection caused by the customer providing incorrect information, failing to attend at the agreed time, or failing to make the bike available for collection.
13. Accessories and Personal Items
Unless agreed in writing, customers must remove accessories and personal items from the bike before collection.
This includes, but is not limited to:
cycle computers;
lights;
bottles;
saddle bags;
nutrition;
tools;
pumps;
removable pedals;
cameras;
personal belongings.
Transition Transport is not responsible for loss of or damage to accessories or personal items left on or with the bike unless those items were specifically declared and accepted in writing before collection.
14. Missed Collection or Missed Return by Customer
If the customer misses the agreed collection time or fails to make the bike available for collection, Transition Transport may be unable to provide the service.
In this situation, the booking may be treated as cancelled by the customer and the deposit may be retained.
If the customer fails to collect their bike at the agreed return or event handover point, Transition Transport will make reasonable efforts to contact the customer. Additional storage, waiting, redelivery or handling charges may apply.
15. Damage, Loss and Insurance
Transition Transport has insurance cover in place for the transport service.
Transition Transport will take reasonable care when handling and transporting bikes.
Customers are also advised to check that their own bike insurance covers transport, travel and race-related use.
Transition Transport is not responsible for pre-existing damage, wear and tear, mechanical issues, loose accessories, or damage caused by inadequate preparation of the bike by the customer.
Any concern about damage must be reported to Transition Transport in writing as soon as possible after collection or return, with supporting photographs where available.
16. Refund Method
Any approved refund will normally be made to the original payment method.
Refunds may take a reasonable time to process depending on the payment provider.
17. Company Discretion
Where these terms refer to Transition Transport’s discretion, this means that the business will review the individual circumstances fairly and reasonably, including the stage of the service, the costs incurred, the customer’s position, and the reason the service could not be completed.
18. Business Transfer
The customer acknowledges that Transition Transport may transfer the operation of the business to a limited company or another business structure in the future.
Where this happens, existing bookings will continue to be honoured on the same terms unless the customer is notified otherwise.

20. Governing Law
These terms are governed by the laws of England and Wales.
